How It Works

Quick visual guides and instructions for examiners, subject managers, and finance.

Login & Account

Signing in for the first time
1
Go to the login page and enter your User ID. Don't know it? Use Find User ID.
2
Enter your default password (usually your surname plus the year - see the SweetAlert on your first login for the exact format).
3
Click Login. You'll be prompted to change your password on first sign-in.
4
You'll land on your dashboard, scoped to your role (Examiner, Subject Manager, Accounts, etc.).
Forgot your password?

Use the "Forgot password" link on the login page to reset it yourself via email, or ask your Subject Manager / Centre Supervisor / an Admin to reset it to the default for you from the Manage Users page.

Travelling & Subsistence (T&S) Claims

Applying for a claim
1
Open Apply for T&S from your dashboard - it takes you to the activity you're invited for.
2
Fill in your venue, dates, and travel/subsistence details. Totals calculate automatically from the configured rates.
3
Attach any supporting documents if required, then submit.
4
Your claim enters the approval chain for your activity (see Approval Workflow below).
Acquitting an advance (Mobile Belt Marking)

If you received an advance for Mobile Belt Marking, you need to report how it was actually spent. You can do this even while your claim is still being approved.

1
Open Select Advance under the T&S Acquittal menu and pick the advance you're accounting for.
2
Fill in the same form, this time with what you actually spent - it calculates the same way as the original claim.
3
Finance can see which original claim this acquittal is for, compare the two, and adjust if needed before it's approved.

Attendance Register

Capturing daily attendance
1
Open Check In / Check Out for the activity and date.
2
Mark each examiner Present or Absent for the day.
3
Submit the register - this feeds directly into T&S eligibility.
4
An Absent status blocks that day's T&S claim unless the activity is BEM.

Approval Workflow

Most claims follow this order - each stage only becomes visible to the next approver once the one before it is Approved. Mobile Belt Marking claims add two extra stages (Directorate and Top Level Management) before Accounts.

Subject Manager Centre Supervisor Directorate* Top Level Mgmt* Accounts Peer Reviewer

* Mobile Belt Marking claims only.
